I like to think about time management in terms of managing large scale projects where you have to complete many tasks to achieve many deliveries under tight deadlines. Based on my experience with managing large projects and achieving work-life balance, I can share my strategies for delegating tasks and decisions, reducing context switching, prioritizing around clear outcomes and goals, and analyze the process for continuous improvement.
Delegate Tasks and Decisions
One of the most powerful tools in your time management arsenal is delegation. Delegating tasks and decisions can free up valuable time and mental energy, allowing you to focus on higher-priority activities.

- Increases Efficiency: By assigning tasks to others, you can ensure that work is completed more quickly and efficiently.
- Builds Trust and Teamwork: Delegation fosters a sense of trust and collaboration within your team.
- Enhances Skill Development: It provides opportunities for team members to develop new skills and take on more responsibility.
How to Delegate Effectively:
- Identify Tasks to Delegate: Determine which tasks can be handled by others without compromising quality.
- Choose the Right Person: Select team members who have the necessary skills and experience. If you find a person that you can trust to perform at your expectations, do everything you can to retain that person in your circle. Find opportunities to keep that person engaged and a part of your team. These people are invaluable to helping you scale and achieve your goals.
- Provide Clear Instructions: Ensure that the person understands the task, its objectives, and the deadline. If you can help the person understand the bigger picture on your strategic objectives, they can leverage their experience and insights to do more than just the task. They can be an advisor and perhaps offer you ideas you have not considered.
- Monitor Progress: Check in periodically to offer support and feedback to ensure the task is on track and will be delivered according to requirements.
Reduce Context Switching
Context switching, or the act of shifting your focus from one task to another, can significantly reduce productivity. Each switch requires a mental reset, which takes time and can lead to errors.
Strategies to Reduce Context Switching:
- Batch Similar Tasks: Group similar tasks together and tackle them in one go. For example, set aside specific times for checking emails or making phone calls.
- Use Time Blocks: Allocate dedicated time blocks for specific activities. This helps you stay focused and minimizes interruptions.
- Limit multitasking: Focus on one task at a time to maintain quality and efficiency.
Prioritize Around Clear Outcomes and Goals
Effective prioritization is essential for managing your time effectively. By focusing on clear outcomes and goals, you can ensure that your efforts are aligned with your most important objectives. Even when everything on your plate is important, you can’t do everything at the same time.
Steps to Prioritize Effectively:
- Set SMART Goals: Define specific, measurable, achievable, relevant, and time-bound goals.
- Apply the 80/20 Rule: identify the 20% of tasks that will produce 80% of the results and prioritize them.
- Review and Adjust: Regularly review your priorities and progress against your outcomes.
- Understand which tasks will offer the best Return on Investment. You may not be able to do everything. Prioritize the items that will give you the biggest bang for your buck.
- Understand the critical things that you need to do to achieve your goal. Some tasks are optional in achieving your goal. I would make sure the critical tasks are attacked with the highest priority and layer in the optional tasks as appropriate.
Continuous Improvement:
To improve on tasks that we perform on a regular basis, we should take some time review the results and look for ways to do better. During the review of a task,
- Identify opportunities to improve on the efficiencies, effort, and outcomes of a task or project
- Analyze the drivers for the opportunities identified in step 1
- Develop action plan to improve on the identified opportunities
- Implement the plan to improve
- Measure the impact of your improvements and evaluate progress towards improvement
- Repeat the steps above and continually evaluate for improvement opportunities.
Good time management is crucial to achieving success. Building a trusted team allows you to delegate and scale to new heights. Plan your schedule to minimize context switching. Identify critical items to prune unecessary tasks and prioritize the critical tasks. Maintain a mindset of continuous improvement. Pull this together to succeed in getting the important things done in your life
